Institutions

The Institution record can be used to describe institutions, which are playing in Knowledge Base various roles. The institution record can be used inter alia as:

  • in bibliographic description it can be

    • corporate author - the field used, e.g. if the author or editor cannot be identified in the publication, and the institution initiating the creation of a given document is known (it may be an institute, association, club, etc.)

    • publisher

  • In project description it can be

    • a partner in consortium

    • funding institution

    • research purcheser

  • location of the scientist's activity (e.g. membership in an association, university inviting a visitor, etc.)

  • (external) affiliation of a researcher

Usually the the institutions records are originated as follows:

  • loaded automatically to the knowledge database with publications imported from global database, such as Scopus, WoS, CrossRef, PubMed, etc. In this case the institutions are taken from the bibliographic descriptions as publishers or affiliations of the authors, editors, etc.

  • entered manually to the knowledge database, when

    • the bibliographic description is made manually

    • the project application records and project records are entered manually

  • the can alos be imported from dedicated databases, ministerial list of authorities, etc.

 

In case of manual entering, before you start, check whether a given record is not already registered in the database.

The institution record form is similar to the affiliation records. The records may from a hierarchy, so in the database one may store a university record and a faculty record conneted to the parent university.

The data entry form is divided into two main sections : Basic information and Profile.

Basic Information

The important fields are:

  • full name

  • full name in English

  • Country

  • Parent unit (if the record described a subunit)

  • Category

  • other categories (especially the flags for institution financing grants, Publisher

 

Profile

The Profile tab is divided into two subtabs: Contact data and Descriptions

Contact Data

The contact data tab contains

  • a set of identifiers in external databases (important for controlling duplicates)

  • Address and contact data subrecord (some elements of the subrecord are filled by the geocoding system, if connected)

Descriptions

The fields here can be filled only for the important partners.

If the institution's record is created manually from the publication form, while saving it, one can decide if the institution should be located on the main list of institutions or only embeded in the bibliographic descrition. In case you plan to report international cooperation it is strongly recommended to put the record to the main list
