Building a table

building a pivot table in the Knowledge Base should start with performing a search. Let us perform, for example, searching for university employees in the editor's panel.

Instruction:

  • go to Auxliary functions Authors and Staff

  • search for all staff, select all records

  • select report type: Staff Pivot

  • click Export n in format

  • select HTML format – to go to the table definition screen using available attributes.

You will get a screen with the following sections visible:

1.      list of all available fields – attributes;

2.      area for defining rows and columns - determining which fields will constitute table columns and which will constitute table rows;

3.      area of possible definitions for aggregation functions - what actions will be performed on the data;

4.      row and column summary options – whether summaries should be displayed or not;

5.      area of the generated table – place where the new table will appear

6.      report download button in XLS or CSV format

  • define the structure of rows and columns, e.g. drag Discipline to the rows section and Affiliation to the columns section

  • select a field, e.g. Publications, in Aggregate Field

  • select a function, e.g. Count

  • enter name for the Aggregate Field , e.g. Number of publications

  • select whether and which summaries should be displayed in the table,

  • you can also specify what should be entered in the table in the case of an empty text or numeric cell, e.g. Empty cell for zero , not 0

  • click Update to update the table at the bottom of the screen

  • you can click Add Pivot to create a second pivot table in this table definition screen

  • click Save as

  • enter the name of the report in Polish and English and set a limitation whether the report should be visible only to you or to other users of the Knowledge Base

  • close the table definition HTML screen and go to the search results screen

  • check if the pivot table you created is visible in the reports drop-down list (it can be reused for another result set)

  • select the newly created pivot table

  • click Download n in format

  • download the table in PDF format

The report in xls format can also be downloaded directly from the table definition screen using the Download XLS function

Row Summary parameter is also important for tables for which no columns have been defined. In this case, the names of the aggregation fields will be displayed in the column labels. They will be displayed for tables where the Row Summary option is selected
