Objectives of the module

The purpose of the University research infrastructure Catalog is fourfold:

  1. on the one hand, the goal is to provide researchers with the opportunity to

    1. find the equipment they need to achieve their research goals,

    2. build information channels that allow organizing cooperation between teams that are in command of the research equipment and experienced in its use, and teams that need such equipment to carry out their research

  2. on the other hand, the purpose of the catalog is to create tools for managers to track the use of the quipment at the university and rationally plan purchases of expensive equipment, in accordance with the needs of the university and the research development strategy;

  3. in addition, an important task of the catalog is to disseminate knowledge of the university's resources and research opportunities to the external environment:

    1. development of scientific cooperation with other universities,

    2. development of services for business, and cooperation with industry.

  4. Strengthening the image of the University as a modern research university, oriented towards cooperation with the academic and business environment.

 

The implemented module allows collecting information on available research equipment and related services (catalog functions), in addition, it allows managing research services related to the use of the equipment.

Assumptions

The following assumptions were made in implementing the catalog:

Assumption 1

  1. It is assumed that there is a person "managing" the catalog and a team of departmental equipment specialists;

  2. Each department has at least one equipment specialist, responsible for the completeness of the department's equipment data and the quality of the data on equipment-related offers and services

  3. The specialist "manages" a team of people responsible for specific equipment in laboratories, indstitutes, departments, plants and/or research teams

  4. The person responsible for a specific equipment takes care of the appropriate technical description of the equipment, the offer of services related to the equipment, and contacts with scientists interested in applying the equipment in their research

  5. Any non-logged-in user can search the catalog in the public view; the scope of information available in the public view is to promote the equipment and related services, emphasizing the services available to the external environment, including potential academic partners for projects, as well as business partners;

  6. Any logged-in user can search the catalog in the expanded public view and possibly submit a request for research with the indicated equipment;

  7. The person responsible for the specific equipment receiving the request can review the details and can accept or reject it. In the case of rejection, he or she should give reasons;

  8. The request for equipment and, if any, research support should be recorded in the University Knowledge Base (UKB) as a record (request record); The service record should contain all information about the use of equipment, the purpose of the research being conducted (link to the project), the possible cooperation of the ordering and performing teams.

Assumption 2

Since a wide common access to the catalog is expected, it was assumed that communication of all users should be very simple and intuitive. Therefore, the Catalog module should be implemented in such a way that the interface of all new functionalities for all users does not deviate from the interface standards of the Knowledge Base.

Assumption 3

The functionality of the Directory should be linked to other existing modules. In particular, it was assumed that the fact that a service has been performed for a specific project is recorded in UKB and, depending on the will of the ordering party, is made public. Since projects are handled by a Project Service Center, information about projects should be shown in the equipment view as an example of equipment use.

Actors of the system

Accordingly, the system provides for the following groups of users:

Catalogue Manager - a substantive user who manages the Catalogue module. He/She has at disposal the following functions:

  1. Give selected people the role of "departmental editor for equipment"

  2. Givie selected people the role of the person responsible for the equipment - this person has the ability to enter and modify data about the equipment

  3. provide insight into equipment records and the functions to edit all information stored there (recommended after consultation with the person responsible for the equipment)

  4. view service records and the functions to edit all service records stored in the database.

  5. Suspend (temporary) and/or revoc specialist and responsible person the role of editor

  6. Control functions related to services, ability to update and change service records;

  7. Generate reports related to the use of equipment.

Faculty Equipment Editor - an employee of the University, having a profile in the Knowledge Base, responsible for the work of those staff involved in servicing equipment at the department. This user is responsible for training of employees at the department and for the quality of the catalogue data entered. He/She also has the authority to assign the role of equipment supervisor in the department. In addition, He/She has access to equipment usage statistics.

Person in charge of equipment - an employee of the University, having a profile in the Knowledge Base, reported as a contact for handling requests for equipment use. This user can handle requests for equipment requests submitted to him/her (acceptance of the request, rejection, termination of the service).

Requesting user - an University staff or PhD student, having a profile in the Knowledge Base, looking for equipment and possibly support to carry out research as part of a project or for own work. The user has the following functions

  1. Browsing and searching for equipment in the catalog

  2. creating a request record

  3. closing the service

External parties do not have the ability to directly create a request record. They do, however, have access to the public description of the equipment, in which they have contact information and can contact the equipment supervisor or contact person to discuss the possibility and terms of cooperation to perform specific research services
