Researchers (publication authors)

The Authors database is one of the most important parts of the Knowledge Base. Its role is manyfold:

  1. it is used as a “dictionary” of standadized names of the researchers for chosing i.a.

    1. authors in publications,

    2. leaders and participants in projects

    3. inventors while describing patents

  2. In Knowledge Base it builds profiles of the researchers showing their scientific achievements

  3. it shows the human research potential of the university units

It is built of descriptions of individuals who are authors of publications and other documents collected in the Knowledge Base. Its main goal is to store the researchers of the University, but additionally it stores records of external co-authors. For this reason, this database can also be used as the University staff database, with the assumption that the employee data will be kept up-to-date by the database editors to ensure its relevance to the researchers day-to-day activities.

If possible, at the beginning the the database should be fed once from the University personnel system. In the course of operation, the database can be supplemented according to the personal changes of the staff data (address, position, degrees, text for Bio, etc.). It is recommended that personal data are entered once to the university systems, so one can consider integrating the staff database within Knowledge Database with the University HR database.

Note: If an employee does not yet have his description in the database and is not the author of any publication, a new record should be created for him. Before creating a new record, however, you should check whether this employee's description definitely does not exist in the database. This is because creating a new record too hastily can lead to the generation of duplicates.

From the point of view of proper identification of the authors it is very important to provide at the very beginning the personal identifiers, especially it is worth recording ORCID. In addition, if possible, while loading personal data one should remeber on adding

  1. Employee Personal Identifier from HR,

  2. one of the national personal identifiers, e.g. SSN,

The external author data will be described with similar data, only the scope of mandatory data is narrowed down.

 

In order to improve researchers' visibility in global databases, it is recommended that researchers set up and share their profiles in global databases and social media (e.g., profile in Google Scholar, ResearchGate, Mendeley, ORCID, etc.).

Once the personal data of the University staff are loaded, it is recommended to make the function of updating the profiles (bio) to the researchers, so that they can fill their biograms, offers for the PhD Students etc. (see https://omega-psir.atlassian.net/wiki/spaces/OMEN/pages/5577802762.

The profiles are searchable for the authors that have the Active flag on.
