Removing a record/version of research data
Reference record
In the case of a reference record, the ability to delete it is not blocked by the system. The basis for deleting a record can be one of the more typical situations:
the record is a duplicate, in which case you can
remove one of the duplicates
merge duplicate records (cf. Discovering and merging duplicates )
the record does not meet the quality requirements, such as:
the link to the record deposited in an external repository is incorrect
no DOI
the record was mistakenly entered as a reference, then left in
an incomplete
state, while its counterpart was created as a deposited record
Deleting a record can be done in a usual way from the record panel.
Before deleting a record, it is recommended to contact the owner of the record (the editor or author entering the metadata.
Deposited record
For a deposited record (or version), a soft or hard deletion can be performed in UBW only if the record is in a state of Under Edit
, or Under Verification
, with:
- the record is abandoned by the author (no continuation in the process of editing the record for an extended period of time and all attempts to contact the author-owner of the record and other co-authors fail; the same applies to a possible subsequent "abandoned" version.
If, on the other hand, the record is already published, whether it is the original record or a subsequent version, whether it has a DOI or not, there is no way to physically delete the record (hard or soft). You can only change the status of the record to Deleted
.
Changing the published status to Deleted
, is possible only after the author of the deposited research data has declared such a need and adequately (and convincingly) explained the reason.
This is usually accompanied by the definition of a new version and its publication (with the assignment of a DOI).
Changing the status of a published record to Deleted
can be done in the editor panel(Editor Panel
→ Research Data
) :
in the panel we search for the record/version that/that we want to have the status changed
In the list of results next to the record/version we use the function as shown below
