Import of publication records and update from Scopus

A researcher can link his or her profile in the Knowledge Base to a profile in the Scopus database (the option Connect to Scopus).

After connecting to the Scopus database, the author has the option Status Scopus, which provides:

  • update the number of citations of publications in the Knowledge Base based on data from the Scopus database (option Update from Scopus)

  • import publication descriptions from the Scopus database (option Import from Scopus)

  • synchronize the collection of your publications with what is in your profile in the Scopus database (option Connection Status)

Instructions for importing publication descriptions from the Scopus database.

  1. If profile:

    1. is connected to the Scopus database, go to b.iv

    2. is not yet linked to the Scopus database:

      1. Click Connect to Scopus Profile

        The system will display the profiles proposed for linking along with sample publications from the Scopus database. If none of the found profiles is appropriate, you can use the Search More option.

      2. Click Select next to the Scopus profile to be merged

      3. Click Confirm.

      4. click Scopus Status

  2. Click Import from Scopus.

  3. On the Import Scopus form, select the appropriate options1 and click Begin

  4. After setting import parameters and starting the import, the system shows a list of found records in the Scopus database. Select the publications to import and click Confirm selection.

  5. After confirming the selection, the system displays  import report 

  6. The system will not import from Scopus publications that already exist in the database (identified, for example, by DOI).

1 You can specify the time range (from - to) from which you want to import publications and specify import parameters regarding duplicates and unrecognized objects accompanying the publication (authors, journal, publisher, etc.).

If there are duplicate records found in Scopus and the Knowledge Base, the following steps can be taken:

  • skip - during import the system will ignore duplicates

  • overwrite - the system will overwrite the records in the Knowledge Base with the corresponding records from the Scopus database

  • ask the user - the user, after reviewing both records, will decide how to proceed

In cases where there are already manually created records with assigned scores in the Knowledge Base, overwriting with records from the Scopus database is not always recommended. This is especially true for articles from conference proceedings, since the descriptions in the Scopus database are poorer and the conference information, and thus the scoring, can be lost.

In case you are not sure how to link authors, journal, etc., the system can:

  • ask the user - this is a request to resolve doubts about authorship or other connections;

  • skip - in this case the system will skip the record with doubts

  • save without resolving doubt - in this case, the record will be saved with the best match

Setting the Collective Author Threshold parameter causes all authors to be recorded as individual authors when the number of authors is below the threshold. When the number of authors is greater than the threshold, the list of authors is treated, as a collective author. From this list, the first author and all authors of the unit will be rewritten to individual authors.

When importing, you can:

  • update publication external identifiers (identifiers in Scopus database) - parameter Update external identifiers.

  • update publication rates (citations)

  • set the status of the imported record.

 

Imported records are not available to the public until approved by the relevant editor. They are marked with a red icon.

Connection status

The Connection Status function shows how the publication lists in the Scopus database and the Knowledge Base differ. The displayed report shows:

  • whose publications from the Scopus database are missing

  • Which publications in the Knowledge Base do not have a link to publications in Scopus.

After applying this function, you get a screen where you can select Scopus view and repository view. The Scopus view shows on the left side the descriptions of publications from the Scopus database, and on the right side the corresponding descriptions of publications registered in the Knowledge Base. If the right side is blank, either there is no publication in the Knowledge Base or it has not been assigned. You can attempt to manually point to the publication - the Connect button.

For each of these views, you can browse:

  • all publications

  • linked publications only

  • only unlinked publications.

Proper linking of papers is essential when updating citations from the Scopus database. Citations will be displayed only for those that have been merged.

Update with Scopus database

The Update from Scopus function is used to update the number of citations retrieved from this database.
